Award ceremonies are the highlight of the school year, and the trophies are what everyone remembers. They are also easy to leave too late. Engraving, printing and packing take time, so a little planning goes a long way.
Count what you need first
Start with a simple list of every award you plan to give:
| Award type | Usually needed |
|---|---|
| Overall champions | Large trophies |
| Event winners (1st, 2nd, 3rd) | Medals or small trophies |
| Participation | Certificates or badges |
| Special awards | Mementos or plaques |
| Chief guests | Welcome mementos |
Add a few spares for ties and last-minute additions.
Four weeks before: decide and order
- Confirm the award list with the sports or events teacher
- Choose trophy sizes and styles for each category
- Collect the text for engraving: event name, year, position
- Place the order so there is time for a proof
Tip: keep the engraving text short and the same format for every trophy, for example "Annual Sports Meet 2026 · 100 m Race · First".
Two weeks before: check the proof
Read every line of the engraving proof. Once metal is engraved, it cannot be changed. Check spellings, years and positions carefully.
One week before: receive and sort
- Unpack and count everything as soon as it arrives
- Sort awards in the order they will be presented
- Label boxes by event so the stage team can find them quickly
On the day
Keep one person in charge of the award table, with the printed list of winners. After the event, save your final list; it makes next year's order much faster.
